What Documents Do I Need to Sell My Car?

One of the most common questions I get asked is: "What do I need to have ready when you come to collect?" It is a fair question. Getting your paperwork in order before the handover makes the whole process quicker and smoother for everyone.

Here is a complete rundown of what you need โ€” and what to do if something is missing.

The Essential Document: Your V5C Logbook

The V5C is the most important document when selling a car in the UK. It is the vehicle registration certificate โ€” the official document that shows who the registered keeper is.

Why it matters: Without the V5C, the buyer cannot legally transfer the car into their name. Most buyers, including me, will not complete a purchase without it.

What to do if you have lost it: You can apply for a replacement V5C from the DVLA. It costs ยฃ25 and takes around five days. Alternatively, if you are selling to me, get in touch and we can discuss options โ€” sometimes we can work around it, but it does add complexity.

Important: The V5C shows the registered keeper, not necessarily the legal owner. If you bought the car on finance and the finance is not fully settled, the finance company may still be the legal owner. Always check this before selling.

Both Sets of Keys

If you have two sets of keys, have both ready. A missing second key is not a dealbreaker, but it does affect the value of the car โ€” replacement keys can cost anywhere from ยฃ100 to ยฃ400 depending on the make and model.

If you genuinely only have one key, just let me know upfront so I can factor it into the valuation from the start rather than adjusting the offer at the last minute.

MOT Certificate

Your current MOT certificate confirms the car has passed its roadworthiness test. Buyers want to see it to check the expiry date and any advisories that were noted.

Old MOT certificates are also worth keeping. They show the car's mileage history over the years, which helps confirm the odometer reading is genuine. A full set of old MOTs is a real selling point.

If your MOT has expired, the car is still sellable โ€” it just needs to be transported rather than driven on public roads. Get in touch and we can arrange collection accordingly.

Service History

A full service history โ€” ideally a stamped service book from a franchised dealer โ€” adds significant value to a car. It shows the car has been maintained properly and gives the buyer confidence.

Partial service history is still better than nothing. Even a few receipts from a local garage showing oil changes and services help tell the story of how the car has been looked after.

No service history is not the end of the world, especially on older or higher-mileage cars. Just be honest about it upfront.

Finance Settlement Letter

If your car has outstanding finance on it โ€” a PCP, HP or personal loan secured against the vehicle โ€” you will need a settlement letter from your finance company.

This letter shows exactly how much is owed on the car. When I buy a car with outstanding finance, I contact the lender directly, settle the balance and pay you whatever equity remains.

How to get a settlement letter: Call your finance company or log into your online account. They are legally required to provide one within 12 working days of your request, though most will do it much faster.

What If I Am Missing Documents?

Do not panic. Missing paperwork is more common than you might think and it does not automatically mean the sale cannot go ahead.

Here is a quick guide:

  • V5C logbook missing: Can apply for replacement from DVLA (ยฃ25). Sale may still be possible โ€” discuss with buyer.
  • Second key missing: Common. Affects value slightly.
  • MOT certificate missing: Check online at gov.uk/check-mot-history. Easy to verify digitally.
  • Service history missing: Cannot be replaced. Affects value but not a dealbreaker.
  • Finance settlement missing: Request from lender. Required before sale can complete.

A Quick Checklist

Before I arrive to collect your car, run through this list:

  • V5C logbook
  • Both sets of keys
  • Current MOT certificate
  • Old MOT certificates (if you have them)
  • Service book or service receipts
  • Finance settlement letter (if applicable)
  • Any accessories that came with the car (parcel shelf, locking wheel nut key, etc.)

One More Thing: Remove Your Personal Belongings

It sounds obvious, but you would be amazed how often people forget things in the car. Check the glovebox, the boot, under the seats, the door pockets and the sun visor. Also check the sat nav if it has one โ€” make sure your home address is not saved in it.

If you have any questions about what you need, just ask. I am happy to talk you through it before I come out.
